Executive Director Guide

As an Executive Director or Board Member, you maintain strategic oversight of BiiTrust across all branches. You evaluate institutional solvency, sanction high-value credit facilities, authorize debt write-offs, and monitor regulatory compliance.

1. The Director Dashboard

Your dashboard (<director-home>) aggregates operations across the entire institution:

Institutional Capital Recovery Gauge

  • Big Number: Percentage of disbursed capital recovered during the active period.
  • Queue Indicator:
    • X for signature (Amber): High-value credit applications requiring executive signoff.
    • Nothing to sign (Green): Executive approval queue is clear.

Quick Actions Bar

  1. Approvals (/applications/queue): Open the executive signoff queue for large credit facilities (≥ KES 500,000).
  2. Reports (/reports): Access audited financial statements, portfolio aging reports, and institution progress summaries.
  3. Branches (/branches): Review branch network health, officer staffing, and local capital allocations.

High-Level Institutional Metrics

  • Outstanding: Total outstanding credit including interest and accrued charges.
  • PAR 30: Institution-wide portfolio at risk over 30 days.
  • NPA Ratio: Non-Performing Asset ratio (loans overdue beyond 90 or 180 days).

Strategic Panels

2. Executive Workflows

Sanctioning High-Value Loans (Level 3 Approvals)

Credit facilities exceeding branch authority thresholds (typically KES 500,000 and above) require executive signoff:

  1. Open Approvals (/applications/queue).
  2. Review the complete dossier:
    • Originating Officer’s underwriting memorandum.
    • Branch Manager’s Level 2 recommendation and covenants.
    • Automated portfolio checks (validating that the borrower’s KYC tier is Enhanced).
    • Attached asset collateral (e.g., registered vehicle logbooks, commercial real estate deeds).
  3. Click Decide:
    • Approve: Authorizes the facility. The loan moves immediately into the ready-to-disburse state.
    • Return: Directs the branch team to renegotiate loan terms, request additional guarantors, or obtain updated asset appraisals.
    • Reject: Declines the loan application with recorded executive grounds.

Authorizing Loan Write-Offs (/loan/:hex/writeoff)

When a loan has defaulted, all recovery avenues have been exhausted, and collateral liquidation is complete or unviable:

  1. Navigate to the delinquent loan’s profile.
  2. Click Write Off.
  3. Step 1 — Review Balances: Inspect remaining principal, accrued interest, and overdue penalties.
  4. Step 2 — Authorize Write-Off:
    • Select the write-off classification (e.g., Borrower deceased with no estate, Exhausted legal recovery, Bankruptcy).
    • Enter the executive board minute reference or justification note.
  5. Step 3 — Confirm Execution:
    • Check the acknowledgement box and click Write Off.
    • The platform stops all interest accruals, closes the loan account, and automatically transfers the uncollected principal against the loan loss provision reserve account in the general ledger.

Monitoring Branch Performance

  1. Open Branches (/branches).
  2. Inspect individual branch metrics:
    • Disbursement velocity vs recovery rates.
    • Active client growth vs client dropouts.
    • Staff efficiency (number of active borrowers per loan officer).
  3. Identify operational bottlenecks or branches requiring capital reallocation.
